PERSONNEL-JOB DESCRIPTION

POSITION TITLE: Transportation Coordinator/Receptionist

POSITION REPORTS TO: Executive Director

GENERAL PURPOSE OF POSITION: To manage and coordinate all transportation activities for bus and volunteer drivers including scheduling, dispatching, record-keeping, and bus maintenance; to receive all incoming phone and radio communications.

MAJOR JOB SEGMENTS: Transportation

  1. To schedule and dispatch all transportation services including bus and volunteer drivers.
  2. To recruit, train, and supervise bus and volunteer drivers.
  3. To keep accurate dispatching, mileage and prepare monthly billings for all passengers and contracted service.
  4. Prepare yearly Michigan Department of Transportation application for specialized services and vehicle replacements as well as office equipment and radios as needed.
  5. Schedule training and mandated alcohol and drug testing for all bus drivers.
  6. Schedule and oversee quarterly Transportation Advisory meetings.
  7. Schedule all vehicle maintenance and keep accurate records on all OCCOA vehicles.
  8. Prepare monthly financial statistical and service reports for Board of Directors.
  9. Prepare yearly service plan and budget.
  10. Perform other duties as assigned by the Executive Director.

MAJOR JOB SEGMENTS: Receptionist

  1. Receive and handle all incoming phone calls for OCCOA.
  2. Provide friendly and appropriate customer service to all clients and guests.
  3. Transfer to voicemail all calls for other staff members when they are unavailable or out of the office.
  4. Perform other duties as assigned by the Executive Director.

JOB QUALIFICATION:

  1. Bachelor Degree in Business Administration or related field.
  2. Supervisory and managerial experience.
  3. Strong communication skills and computer skills.
  4. Good program, organizational and community relation skills.
  5. Ability to maintain accurate and pertinent records.
